I scan or snap pics, then rename them with the date and a quick description. It’s not fancy, but it saves me from scrolling through a million photos later.

That system sounds organized, but I’ve actually found a dedicated document management app works better than cloud folders. I use Evernote—lets me tag docs, set reminders for permit renewals, and search by keyword. It’s less about folders and more about finding stuff fast. As for maintenance logs, I keep a spreadsheet with dates and notes. Relying on memory just didn’t cut it after I missed a filter cleaning and got a minor leak... lesson learned.

Evernote, huh? I tried that for a while but got distracted by all my random recipe clippings and grocery lists... Next thing I knew, my permit docs were sandwiched between “chicken marinade” and “how to fix a squeaky hinge.” I do like the tagging idea though—searching by keyword beats scrolling through endless folders. For maintenance logs, I’m old-school with a notebook in the garage, but maybe it’s time to join the 21st century. Anyone else ever lose track of which year you last cleaned the gutters? Or is that just me...

Still, nothing beats flipping through a grease-stained notebook for gutter cleaning dates... except when I can’t read my own handwriting. Maybe a hybrid system is the way to go?

Hybrid’s probably the only way to keep your sanity, honestly. I’ve seen folks lose critical storm repair docs in both digital and paper chaos. Tags are great, but if you forget what you called something, it’s like searching for a missing shingle after a windstorm—frustrating and time-consuming. I keep digital copies of permits and inspection reports (tagged by year and project), but I still jot down quick notes in a physical logbook for things like gutter checks or minor repairs. That way, if one system fails, the other usually bails me out. Just wish my handwriting was more legible after a long day on site...

Man, I feel you on the handwriting—mine turns into chicken scratch after a few hours up there. Hybrid’s saved my butt more than once too. I’ve even snapped pics of my logbook pages with my phone, just in case I can’t read what I wrote later. It’s not perfect, but at least I don’t lose track of which downspout I checked last...
